The largest conference room published by any Blue Mountains hotel or resort is the Grand Ballroom at Fairmont Resort Blue Mountains in Leura, at 620 theatre. That room is the Ballroom and Pioneers opened together, so the largest single undivided space is the Ballroom at 364. The Fairmont is also the only property in the region with both a plenary of that size and the rooms to sleep the group, at 224 rooms and 23 meeting spaces.
Below the Fairmont the market drops sharply and becomes a retreat market. The next largest published theatre figures are the Hydro Majestic at Medlow Bath at 250 and Mountain Heritage at Katoomba at 200, and published room counts run 82, 65 and 41. Above about 250 in plenary you are choosing between one or two properties, and above 620 there is nothing.
What the Blue Mountains does that Sydney cannot is keep the group together. Delegates do not go home at six o’clock, there is nothing else on, and the evening session actually happens. The properties publish about ninety minutes from Sydney by road, the rail line runs direct from Central, and it is genuinely usable for individual arrivals even though every property sits on an escarpment above its town. See the venues we would start with.
An hour or two from Sydney, and the air changes. The Blue Mountains trade city polish for escarpment views and grand old guesthouses, which is exactly what a leadership group needs when the agenda calls for thinking rather than presenting. Heritage resorts and retreat properties around Katoomba and Leura suit offsites, strategy days and incentives. We source right across the mountains and negotiate the venue, dining and accommodation as one arrangement.
What each one is really good for, with the figures the venue publishes for itself. Figures checked 6 September 2026. We source right across Blue Mountains, so treat this as a starting point rather than a list.

Based on venue suitability alone.
The area you choose shapes everything from how easily delegates arrive to what you will pay for dinner. These are the ones we source across most, and what each is good for.
A full residential conference of 100 to 600 with everything on one site. The Fairmont is the region’s only resort scale conference hotel, and Leura is the first of the upper mountains villages you reach from Sydney, which saves the most transfer time.
When you want the group dispersed across characterful properties and walking to dinner. The deepest concentration of stock, and the one precinct where individual rail arrivals genuinely work, with the station in the centre of town.
A single building residential program of 60 to 200 that wants a hero property and no distractions. Effectively one venue, with no walkable town, so the coach is not optional and every meal is on site.
Small leadership retreats where the point is that nobody can leave. Guesthouses and lodges rather than conference hotels, so plan for groups under about thirty, and it is the furthest from Sydney.
When the priority is minimising drive time from Sydney and the group is small. Conference grade accommodation is thin, so this is usually a day meeting or an arrival day rather than the residential base.
Genuine remoteness beyond the escarpment for a small, high budget program. Verify the operator before you commit, because at least one well known property in this area is no longer trading under the brand people remember.
No destination is right for every brief, and the useful conversation is about where the limits are. These are the ones that change a Blue Mountains program most often.
This is a mountain region at about a thousand metres. Bureau of Meteorology averages for Katoomba put July at a mean maximum of 9.5 degrees and a mean minimum of 2.6, and even January averages a maximum of 23.4. Fog also takes the views away without warning. It is the single most under briefed thing about the destination.
NSW National Parks states plainly that the park may close at times due to poor weather or fire danger. Any outdoor or offsite element needs a wet weather and a fire danger fallback written into the run sheet rather than assumed.
Among the Blue Mountains venues we have verified there is no exhibition hall, no convention centre and no pillarless floor plate at exhibition scale. Anything with a trade floor, more than about three concurrent streams or more than 600 delegates is better placed in Sydney, and a same day fly in meeting should not come here at all. If you know of a room up here that changes that, tell us and we will go and look at it.
Everything above this point is information. It is genuinely useful, and no other venue finder in Australia publishes it. But it is not the thing you are actually buying.
What you are buying is someone who has already had the conversation with the person who holds that room, knows what they will move on and when, and will pick up the phone rather than send you a portal login. Whoever takes your Blue Mountains brief stays your point of contact from the first call through to the day of your event.

Ninety minutes from Sydney, on one road corridor, with almost nothing to do after dark except the program you designed. That is the entire argument for the region, and it is why the retreat and the residential conference are the two things it does properly.
Every venue has something worth knowing before you sign. A difficult load in, a low ceiling, a pre function space that struggles once the room is full. You will hear that from us at shortlist, not on the day.
There is no fee for our service. The sourcing, the local knowledge and the negotiating are all included, and the rate you end up with is usually better than booking direct.
You will have Blue Mountains options to consider within 48 hours.
